Kim Lundgren Associates, Inc. (KLA) is seeking an experienced, organized, driven Executive Business Administrator in the Boston, MA area to directly support the CEO with various tasks related to business development, marketing & sales, social media and content development, meeting scheduling, research, and finance, operations, and administrative tasks. We expect this hire will have an opportunity for significant growth and are looking for a self-motivated, passionate person to shape the position. This hire will be required to spend approximately 2 days/week in-person (at least initially, and as safe to do so) at the office of the CEO and must therefore, be located in the Boston area and provide proof of COVID vaccination. There may be some travel to client locations, as needed.

Responsibilities:

The Executive Business Administrator will be responsible for the following tasks:

Operations & Finance

  • Coordinate with senior leadership and lead the documentation of systems and processes for our climate action work
  • Drive the creation of and ongoing support to the KLA Board of Advisors
  • Track and report on KLA’s metrics of success and suggest ways to improve
  • Support invoicing and follow up on accounts payable
  • Support recruitment and onboarding of new staff
  • Provide hours and expense reports from project management tool to bookkeeper

Marketing/Business Development

  • Coordinate proposal development and assist with design of proposals
  • Support implementation of a targeted marketing strategy focused on KLA’s projected growth
  • Provide research support for KLA’s CEO on target communities
  • Develop and post case studies on KLA’s existing work
  • Develop and post social media and blog content
  • Maintain the KLA website and social media presence
  • Develop KLA’s social media strategy
  • Provide logistical and content support for the Climate Solutions Series webinars and the SAS Talk with Kim podcast
  • Support the management of KLA’s CRM (HubSpot) and suggest and implement improvements

Administrative

  • Manage the CEO’s calendar
  • Schedule travel for the CEO
  • Support the full KLA Team with logistics related to client and KLA internal meetings and workshops
  • Develop processes and automation for administrative tasks
  • Drive B Corp metric reporting
  • Print, collate, and deliver proposals, materials, etc.
  • Other support as needed

Qualifications

  • Must demonstrate an ability to pivot and adjust tactics easily and quickly. This is a fast moving and ever-changing industry; we need someone who can readily adapt to the changing needs of our clients.
  • Must be extremely organized and able to bring organizational structure to the firm
  • Must be comfortable thinking outside the box and have experience driving innovation
  • Must have strong written and verbal communication skills
  • Extensive experience with writing for social media and a solid understanding of the various platforms
  • Adept at a range of programs and tools including Microsoft Office (a MUST), HubSpot or other CRM tool, Adobe products, and project management and finance tools
  • Must be willing to continuously learn and improve performance
  • Minimum of five years of professional experience

  • Experience working with C-Level Executives
  • Knowledge of and/or experience working with local governments or other public agencies
  • Solid design skills and experience with Adobe Creative Cloud
